QR Code for Booking and Appointments

The hardest part of getting a new client isn't convincing them — it's getting them to actually book. Every extra step between "I want this" and "I've booked it" loses people. A QR code that opens your booking page directly skips the searching, the navigating, and the "I'll do it later" that never happens.

How to Set It Up

Get the direct booking link from your scheduling platform. Every major booking tool has a shareable URL:

Calendly: https://calendly.com/yourusername or a specific event type URL.

Cal.com: https://cal.com/yourusername

Booksy: Your profile URL from the Booksy app or website.

Fresha: Your salon/business URL from Fresha.

Acuity Scheduling: Your scheduling page URL.

Square Appointments: Your booking page link from Square dashboard.

SimplyBook.me, Setmore, Timely: Each has a public booking page URL in settings.

Your own website: If you have a booking page on your site (e.g., yoursite.com/book), use that URL.

Where to Place Booking QR Codes

Business cards. The most natural placement. "Ready to book? Scan here." The person you just met can schedule immediately instead of emailing back and forth.

Storefront / entrance. Salons, clinics, studios, consultancies — a QR on the door or window: "Scan to book your next appointment." Works for walk-ins who want to come back, and passersby who are interested but not ready to walk in.

At the current appointment. This is the highest-converting moment. The client is satisfied, sitting in your chair / at your desk / in your office. A QR at the checkout: "Book your next visit before you leave." Reduces no-shows and keeps the schedule full.

Reception / waiting area. While waiting, clients scan and book their next appointment. Or they explore other services you offer.

Social media bio. Add the QR code image to your Instagram highlights or include the booking link in your bio. For physical-to-digital: print the QR on flyers that promote your social profiles.

Email signatures. Every email you send is an opportunity: "Need to schedule a meeting? Scan to book."

Flyers and posters. For service businesses promoting in the local area. "Free consultation — scan to book your slot."

On vehicles. Service vans (plumber, electrician, cleaner): a QR on the van that lets neighbors book while the van is parked in their street.

Tips for Booking QR Codes

Link to the right booking type. If you offer multiple services (haircut, coloring, consultation), link to either a general booking page where the client selects the service, or a specific service page if the QR is in a context that implies the service (e.g., a flyer specifically about coloring).

Show availability hints. Some booking platforms show available slots on the landing page. This is great — the client immediately sees "Tuesday at 2pm is open" and books on the spot.

Reduce the form. If your booking page asks for 10 fields before confirming, many people will abandon. Name, email/phone, preferred time — that's enough for an initial booking. Collect details later.

Confirmation matters. Make sure the booking system sends an immediate confirmation (email or SMS). The client needs reassurance that the booking went through.

Dynamic QR for flexibility. If you switch from Calendly to Cal.com (or any platform change), a dynamic QR lets you update the link without reprinting cards or signs. Also gives you scan analytics — how many people scanned vs how many actually booked.

Time zone awareness. If you serve clients in different time zones (consultants, remote services), make sure your booking tool shows times in the client's local time zone.
